Client portal or PDF report? Why your clients stop reading the PDF.
Agencies, consultants and auditors put real work into the monthly report, then send it as a PDF. The client opens it, reads the first page, and files it. By month six, nobody can find month two.
What goes wrong with the PDF
- It is a snapshot. Every month starts from zero, so trends are invisible unless someone builds a chart by hand.
- It is long. The useful insight is on page seven, after the method and the caveats.
- It is lonely. A group with five locations gets five separate files and no way to compare them.
- It is invisible. You cannot tell whether it was read, so you cannot tell whether it is valued.
What a portal changes
A portal is a private website for each client. They log in with their email and see their own data, as of today, with history built in. The same work now shows a trend, a ranking and a next step, and it is there whenever a manager has two minutes.
- Month over month history in one place
- Group views for clients with several venues, stores or properties
- Charts that answer one question each, instead of a wall of tables
- A clear next action at the end, which is where renewals and upsells start
A real example
Migoru runs anonymous mystery dining for restaurants and bars in Bali. Its reports used to live in a spreadsheet and go out as PDFs. We rebuilt them as interactive scorecards inside a private portal, with a leaderboard across venues, a category heatmap and a track record page for each venue. When a PDF is still fine
If you report once a year, to one person, who prints it, keep the PDF. The portal earns its keep when reports are recurring, data accumulates, and the client has more than one place or person to keep an eye on.
What it takes to build
A focused portal is a small web app: a login, a data source you already have, and a handful of well designed views. Because the data usually lives in a spreadsheet or form already, the build is mostly design and plumbing, not reinvention.
